Free Invoice Templates: 8 Professional Designs

Published · Last updated

The way your invoice looks affects how quickly you get paid. A clean, well-branded invoice signals a business that takes itself seriously — which makes clients take paying you seriously too.

This guide covers eight template styles, which file format to actually send, and the details that separate a template that works from one that generates questions.

Which invoice template format should you use?

Before the design, decide the format. This is the choice that causes the most avoidable problems.

Format Good for The catch
PDF Sending to clients None — this is what you should send. Looks identical everywhere
Word / Docs Editing text-heavy invoices Reflows on the client's machine; fonts and spacing shift
Excel / Sheets Jobs with lots of line items and tax math Painful to read on a phone; easy to break a formula
Invoice app Repeat invoicing Numbering, totals and terms handled for you

The rule worth remembering: edit in whatever you like, but always send a PDF. A Word invoice opened on a client's machine can repaginate, lose your logo placement, or substitute a font — and you will never see the version they saw.

If you prefer working in a spreadsheet, our free invoice template for Excel and Google Sheets has the subtotal, tax and total already wired up, so the arithmetic cannot drift.

Why invoice design matters

Clients judge your business by every document you send. A messy, hand-typed invoice plants a seed of doubt at exactly the moment you are asking for money. A polished one reinforces trust and reduces friction.

There is a practical dimension too. A well-structured invoice puts the total, the due date and the payment details where the eye lands, so a client who wants to pay you can do it in under a minute. Design here is not decoration — it is removing reasons to postpone.

8 invoice template styles

Each of these is a genuine layout style, suited to a different kind of business.

Style Character Suits
Executive Clean, corporate, understated Consultants, B2B services
Business Structured, with a highlighted totals panel General small business
Creative Colored accent block Designers, photographers, studios
Scandinavian Spacious, minimal, calm Premium service brands
Dark Bold dark header, modern feel Agencies, tech and creative work
Editorial Serif typography, elegant Writers, consultancies, agencies
Borderless Minimal, airy, no heavy rules Anyone who wants the content to breathe
Future Modern layout, room for a payment QR code Mobile-first and on-site work

How to choose the right one

Match the template to your brand personality. A plumber and a wedding photographer send very different signals, and their invoices should too.

Three practical tests:

  1. Would this look right next to your other documents? Your estimate, invoice and receipt should feel like they came from the same business.
  2. Does it survive being printed in black and white? Some clients still print. A design that depends entirely on color loses its structure.
  3. Can you read the total at arm's length? If the total is not the most obvious number on the page, the layout is working against you.

When in doubt, choose the simplest option that still feels like you. Clarity always beats clutter.

Add your own branding

Whichever template you pick, three things turn a generic layout into a recognizable part of your business:

  • Your logo, at a sensible size — large enough to register, small enough not to compete with the total.
  • One brand accent color, used consistently. One is a brand; four is a ransom note.
  • Consistent fonts. Pick a pair and keep them across every document.

Set these once and stop deciding. The value of branding is repetition, and repetition only happens when it is automatic.

What every template still needs

A beautiful template with a missing field is still a slow invoice. Whichever style you choose, check it carries a unique invoice number, the issue and due dates, itemized lines, the tax treatment, and your payment instructions. The full list is in our 12-point invoice checklist.

Two that templates most often omit:

  • A payment reference. Give the client the invoice number to quote, or you will be matching bank lines to jobs by hand.
  • The due date as a calendar date. "Net 14" printed alone is a puzzle, not a deadline. Payment terms explained covers the wording.

Send it as a PDF

Word documents get reformatted, spreadsheets break on phones. Always export to PDF so the invoice looks identical on every device — desktop, tablet, or phone.

Name the file so it is findable later: INV-1042-Riverside.pdf beats invoice-final-v3.pdf. Your client's accounts team will thank you, and so will you in eleven months.

FAQ

Where can I get a free invoice template?

You can download a free invoice template for Excel and Google Sheets here — the subtotal, tax and total calculate themselves, and it needs no email address. If you would rather not maintain a spreadsheet, an invoicing app gives you the same structure with the numbering and totals handled automatically.

What file format should I send an invoice in?

PDF. It renders identically on every device, cannot be accidentally edited, and preserves your layout and branding. Edit in Word, Sheets or an app if you prefer — but export to PDF before sending.

Should I use Word or Excel for invoices?

Excel if your invoices involve several line items and tax calculations, because the arithmetic is done for you. Word if your invoices are mostly text. Either way the client should receive a PDF, not the source file. Once you are sending more than a handful a month, both become slower than a dedicated invoice app.

What makes an invoice look professional?

Consistency more than decoration: a clear hierarchy with the total prominent, itemized lines, your logo, one accent color, and the same layout every time. A plain invoice done consistently looks far more professional than an elaborate one that changes every month.

Can I put my logo on an invoice template?

Yes, and you should. A logo makes your invoice recognizable in a crowded inbox and reinforces that the bill comes from an established business. Keep it proportionate — the total should still be the most prominent element on the page.

Do invoice templates work on a phone?

PDF invoices do, which is another reason to send them. Spreadsheet templates are usually painful to fill in on a phone, so if you invoice from the job site rather than a desk, work in an app and let it produce the PDF.
