Type into the description, quantity, and unit price columns. Everything in the Amount column and the totals block updates on its own — you never edit a total by hand, which is where spreadsheet invoices usually go wrong.
How to use it
- Download the file and save a copy for each invoice, named after its invoice number.
- Replace the business and client placeholders with real details.
- Set the invoice number. It must be unique and sequential — our invoice number generator will give you the next one in your series.
- Enter your line items, then set the tax rate in the Tax rate cell (use 0.2 for 20%).
- Export to PDF before sending. Never send a client an editable spreadsheet.
Where a spreadsheet stops working
A template is genuinely fine for your first handful of invoices. It stops being fine at roughly the point you have enough clients to lose track, and the failure modes are always the same:
- Numbering drifts. Copying last month’s file means eventually reusing a number, which is the most common cause of payment disputes.
- Nothing tracks what’s paid. A folder of spreadsheets cannot tell you who owes you money today.
- PDF export splits pages. Print areas shift as rows are added, and clients receive a two-page invoice with the total orphaned.
- It only exists on one computer. You cannot invoice from a client’s site on your phone.

Does the template calculate totals automatically?
Yes. Each line calculates quantity multiplied by unit price, the subtotal sums every line, and the tax and total update from the tax rate you enter. You only type the description, quantity, and price.
How do I use this in Google Sheets?
Download the CSV, then in Google Sheets choose File, Import, Upload and select it. The formulas come across intact. You can also import the .xlsx the same way.
How do I add my logo?
In Excel, use Insert then Pictures and place the image in the top-left area above your business name. Spreadsheets do not handle images well when rows shift, so keep the logo outside the line-item area.
How do I send it as a PDF?
Use File, Export or Save as, and choose PDF. Check the print area first — spreadsheets often split an invoice across two pages, which is the most common complaint about invoicing from Excel.
